๐งพ Invoicing
Chronos turns tracked time into invoices you can send to your clients. Building on Rates, you mark which time is billable, group boards under the clients you bill, and generate a professional invoice PDF for a client and date range.
The workflow has three parts:
- Billable time โ mark each worklog as billable or non-billable
- Clients โ group boards under a client and store their billing details
- Invoices โ preview and download an invoice PDF for a client and period
Who Sees Whatโ
Like Rates, invoicing follows stricter visibility rules than tracked time:
- Workspace admins manage clients, see every client's billing details, and generate invoices.
- Regular members can see client names (so they can group their own reports by client), but never a client's contact details, rates, or invoices.
Admin status is verified live against your Trello workspace membership, so it always reflects your current role.
Billable Timeโ
Every worklog is either billable (time you charge a client for) or non-billable (internal work, meetings, admin, pro-bono time). By default all time is billable, so nothing changes until you start marking time non-billable.
Marking a Worklogโ
When you add or edit a worklog, use the Billable checkbox to set whether that entry counts as billable time. New worklogs start from the board default (see below).
Board Defaultโ
Admins can set the default for a board in Settings โ Board:
- New worklogs are billable by default โ when turned off, new worklogs on that board start as non-billable. Handy for internal boards where most time isn't charged to a client.
The default only applies to new worklogs โ existing entries keep their current flag.
Billable and Valueโ
Value means billable value. Non-billable time has no monetary value: it is excluded from value totals in the Rates section, from card and work-log value badges, and from invoices. It is never lost โ the Rates section shows non-billable time as its own separate figure so you can still see it.
Filtering by Billableโ
In the Reports app you can focus any view on billable or non-billable time. The All time / Billable / Non-billable selector in the filter panel is available in the Calendar, Timeline, Charts, and Report views, and your choice is remembered.
Billable in Exportsโ
CSV exports include a Billable column (Yes / No). Because it describes the work rather than its price, this column is available to everyone โ unlike the financial columns, which stay admin-only.
Clientsโ
A client is who you bill. You group one or more boards under a client, and Chronos can then group reports by client and generate invoices per client.
Admins manage clients in Settings โ Clients.
Creating a Clientโ
Enter a name and add the client. Names must be unique within your workspace.
Assigning Boardsโ
Assign one or more boards to each client using the board selector. A board can belong to one client at a time โ assigning a board that already belongs to another client is not allowed. All the time tracked on a client's boards is what its invoices draw from.
Client Detailsโ
Open a client to edit the details used to fill in the invoice's "Bill to" block:
- Address
- Tax ID
- Notes
These details are visible to admins only.
Grouping Reports by Clientโ
Once boards are assigned, Clients becomes a grouping option in the Calendar and Timeline views, so you can see tracked time rolled up per client. Time on boards that aren't assigned to any client is grouped under No client.
Creating Invoicesโ
Admins generate invoices from the Rates section of the Chronos board bar. Click Create invoice to open the invoice wizard.
The wizard has four steps:
1. Client & Periodโ
Pick the client and the date range to bill. The range defaults to the period you're currently viewing in the report. The client must have at least one board assigned.
2. Previewโ
Chronos aggregates the client's billable, rated time into invoice line items and shows a live preview with the subtotal, tax, and total. You can:
- Group line items by card, member, or board โ each line combines time that shares the same rate.
- Set a tax rate (%) โ the tax and total update automatically.
3. Detailsโ
Fill in the invoice document fields:
- Invoice number, issue date, and due date
- Notes (payment terms, bank details, and so on)
- From block โ prefilled from your workspace billing details and remembered for next time
- Bill to block โ prefilled from the client's details
4. Downloadโ
Download the finished invoice as a PDF, ready to send.
What's Includedโ
Invoices only include billable time that has an hourly rate for the date it was logged:
- Non-billable time is excluded.
- Unrated time (tracked before a member's first rate period) is excluded and noted on the preview and the PDF, so you can backdate a rate if you need to bill it.
- Line totals are the exact sum of each worklog's value, so the invoice always matches your reports to the cent.
One Currency Per Invoiceโ
An invoice uses a single currency. If a client's boards use different currencies, Chronos can't combine them into one invoice โ set a consistent currency per board in Settings โ Hourly rates, or split the client's boards by currency.
Nothing Is Storedโ
Invoices are generated on demand and are not saved. You can reproduce an invoice at any time by running the wizard again for the same client and period โ the numbers come straight from your current worklogs and rates.
Plan Requirementsโ
- Marking time billable, managing clients, grouping reports by client, and the invoice preview are available on every plan, including Free.
- Downloading the invoice PDF requires a Trial or Team plan. On the Free plan you can still build and preview an invoice; downloading prompts you to upgrade. See Pricing for plan details.
